Opportunity
To provide critical onsite administrative support for the project delivery team. Working in a complex and dynamic environment, this role ensures that processes are clear and followed on a daily basis and that site data such as time tracking is accurate and reported on a timely basis.
You will need to be flexible and able to manage unexpected requests as required, while working with a wide variety of internal and external stakeholders.
Ideal role for a motivated individual with an aptitude for problem solving, learning, highly organised and likes to work in a fast-paced environment.
Main Duties
- Safety training coordination for (new) personnel and visitors; This includes liaise with 3rd parties to extract personnel information and documentation.
- Logging and loading personnel onto the Data Scope System (Site Personnel Management system).
- Book, track, and chase deliveries and arranging presence where required.
- Collation and processing information of time sheets to generate overviews and statistics.
- Maintaining a daily works schedule to record daily task progressing.
- Ensuring the collection and collating of Third-Party test results / calibration certificates and filing on the Share point in the correct folder (UPS package).
- Ensuring the collection and collating of test results from the site engineers and filing on Share point in the correct folder.
Weekly responsibilities include but not limited to:
- Attending the Weekly toolbox talk – collate / file sign off sheets.
- Responsible for all work Permits and ensure compliance with site requirements.
- Maintain a weekly works schedule to record weekly task progressing.
- Chairing a weekly progress meeting and sharing results with Management Team.
Other general responsibilities include but not limited to:
- Continuous optimisation of all (administrative) processes.
- Ensuring a clean desk policy is always maintained.
- Ensuring all office stationery requirements are available.
- Maintain the EHS HRA wall with weekly information on site works.
- Collation of 3rd party equipment part and serial numbers and add the same to the customer asset control system.
- During rotation or absence of team members, cover meetings and represent as a spokesperson on site.
- Any other reasonably requested tasks to ensure the smooth running of the project.
Skills and Qualifications
- Minimum of 3 years in previous administration roles for a team role within a demanding environment
- Experience in construction or other project environment desirable
- Excellent knowledge of MS Office
- Highly organised
- Able to multitask
- Confident communicator
The role requires a confident, self-motivated and process driven individual who can work to tight deadlines while ensuring both internal and relevant costumer processes are followed without ever compromising ethical, safety, or quality standards.
Uniform in terms of PPE and hard hat will be required onsite and provided.
